Low Cost Teleconferencing Doesn’t Always Save Money

You have probably heard of the many benefits of using teleconferencing in your business and would like to make teleconferences part of your business communications arsenal, but perhaps you have no idea where to start. What should you be looking for and what key points should you consider when shopping around for low cost teleconferencing solutions?

For many businesses, price is an important factor to consider, but once you start looking around you will find that there are so many cheap teleconferencing options that it is hard to know which one is going to work best for you and your company, and the others you will be inviting to participate in the conference.

There are many other things to consider as well at price, that will ultimately determine if you have found the right service. If you focus only on price you may very well end up with less than desirable results. If you will be having customers, or potential customers who will be invited to your teleconferences, you could lose your reputation and potential sales if the low cost teleconferencing service you choose does not provide you and your customers with a quality experience.

A bad teleconferencing event is sure to turn an opportunity into misfortune which no business can really afford even once. Choosing a teleconferencing service just because it is free or the least expensive could harm your business.   • Ease of Use – This is a very important feature, especially if you are inviting guests from outside your business to participate in the conference call. People need to be able to call in easily, and get connected quickly. The organizer of the teleconference also needs to be able to easily make scheduling arrangements and communicate the schedule. And, the organizer must be able to easily put the system into lecture mode, or presentation mode, if there is too much noise on the line. The system also needs to have a very simple way for people to mute their phone line in case they have background noise in their environment that they are not able to control. Without these features, and simple ways to use them, the teleconference can quickly get out of control making it impossible to communicate.
  • Quality of Sound – This may seem very basic and obvious, but it is too often assumed that the quality of voice will be good. This is too often not the case. The quality of the sound should not decrease when more people join the conference call, but a poor quality system will allow this to occur. Also, older systems often “clip” the words of one person when another starts to speak or in the case of loud background noise. Newer systems employ technology such as full-duplexing which helps to prevent this.

Service Reliability – While the first two points are very important, reliability is likely the most crucial feature in a low cost teleconferencing service. If a participant gets “kicked out” or the call is dropped, or if people get an “all circuits busy” message when trying to dial into your conference, or you are cannot to get the service to incorporate all the caller, you will likely business or at the very least cause frustration with your customers or your employees. Once people experience this kind of problem, you will have an uphill battle trying to get them to set aside time in their schedule to try to call in again.

It is definitely is possible to find low cost teleconferencing that also delivers ease of use, good quality sound, and good reliability.  One final tip, always put whatever system you choose to the test with a handful of people before inviting guests and customers to a teleconference. By taking the time to do a some research , you can easily eliminate costly missteps and you will find teleconferencing to be a favorite method of communication.
